How to Plan Auto Shop Coverage Around Time-Off Requests

Review time off against the people and roles needed at the shop, then update the schedule and communicate any changes. Availability describes when someone can work; a time-off request asks for an absence to be reviewed. Neither is a substitute for checking the published coverage plan.

01 / Coverage planning

Separate recurring availability from a specific absence

An employee who is normally unavailable on a particular weekday is describing a recurring constraint. Someone requesting next Thursday off is asking about a specific date. Keep these facts distinguishable when planning the week. Strut provides personal availability rules and exceptions alongside time-off requests. A saved availability entry should not be treated as a notification that an existing published shift has automatically changed, and a pending request should not be mistaken for an approved absence.

  • Keep recurring constraints up to date
  • Review date-specific exceptions separately
  • Confirm request status before changing coverage

02 / Coverage planning

Inspect the work that needs coverage

Check the affected day by role and location. A spare person on a roster does not necessarily cover the skill, shop assignment, opening duty, or front-desk handoff that would be missing. In a fictional example, an advisor’s afternoon absence may leave a pickup handoff uncovered even if two technicians are present. Decide who can actually handle that work and whether the appointment plan needs review. Do not convert a staffing gap into an automatic promise that the shop can accept the same customer workload.

  • Check opening and closing responsibilities
  • Review advisor and technician needs separately
  • Check the relevant shop and appointment workload

03 / Coverage planning

Record the decision through the review workflow

Have an authorized reviewer handle the request rather than relying on an informal conversation that never reaches the system. In Strut, employees can submit time-off requests and authorized reviewers can make decisions in the team Requests workflow. Review the dates carefully and keep the decision separate from any shift editing still required. This guide covers operational coordination, not employment-law entitlements or pay rules; apply your established policies and obtain jurisdiction-specific advice when needed.

  • Confirm the employee and requested dates
  • Use the authorized decision path
  • Check the published schedule after the decision

04 / Coverage planning

Publish a clear revised plan

Once the coverage decision is made, review any affected shifts and publish the intended changes. Check each recipient’s update message so a changed start time, cancelled shift, or new assignment is understandable. Then check the plan from the employee’s point of view. Time is an opt-in Strut feature: company enablement and assigned permissions control access. Keep the availability and time-off process connected to scheduling without assuming a request approval performs every required staffing action automatically.

  • Review the revised shifts before publication
  • Check messages for the affected employees
  • Confirm that the published plan resolves the gap
