Auto Shop Staff Schedule Template: A Weekly Coverage Worksheet

Use one row per employee shift to plan the week: record the date, shop, role, start and end times, planned meal, and the handoff that needs coverage. Download the CSV below and edit it in a spreadsheet. It is a planning worksheet, not a timesheet or a Strut import file.

Free download, no form. Includes a five-day fictional example; replace it with your own plan. The CSV does not import directly into Strut.

Start with one row for each shift

A row-based worksheet makes a change easy to trace: move a start time on the affected row, rather than leaving a second version of the week in a group chat. The file includes a date, weekday, location, employee, role, local start and end time, planned meal minutes, coverage responsibility, publication state, and notes. Repeat a person’s name on each date they work. Keep actual punches and break records in a separate attendance record so this plan does not become a guess at hours worked.

  • Replace the fictional names and location before sharing
  • Use the shop’s local time and state it clearly
  • Keep the plan separate from actual clock records

Check the example before copying the pattern

The example has two technicians and one advisor. Alex opens at 8 AM, Jamie covers the front desk from 8 AM, and Sam starts at 9 AM. These are illustrative staffing choices, not a staffing recommendation or a break-policy rule. Before using the pattern, check whether your actual opening and closing hours, assigned skills, absence requests, and customer handoffs fit it. Planned meal minutes alone do not tell you when coverage will be needed; put the intended handoff in the coverage column.

  • Confirm a named opener and closer
  • Review the advisor handoff when someone is away
  • Adjust the example to actual availability

Review and share one version of the week

Keep the worksheet in draft while you check coverage. Have one schedule owner review the week, mark the intended version, and tell employees where the current copy lives. When a shift changes, identify the affected date and the old and new times. Do not rely on a changed cell to notify someone who already looked at yesterday’s version. The publication column is a manual planning aid; changing it in the CSV does not publish a Strut schedule or send a message.

  • Choose an owner for the final coverage check
  • Give employees one current schedule location
  • Explain changes to affected employees

Move from the worksheet to a reviewed schedule

The spreadsheet is useful when planning a week or explaining your staffing pattern during a demo. When drafts, updates, and employee access become difficult to manage in a file, inspect a dedicated scheduling workflow. Strut supports shift templates, draft planning, published personal schedules, and update-message previews. Time is opt-in for each company, so confirm enablement and employee permissions before expecting a team to use it. Enter shifts through the supported schedule controls rather than treating this download as an import format.

  • Bring the completed worksheet to a demo
  • Confirm who can plan and publish team shifts
  • Check a published shift from the employee’s view
